New Returns Process

We have added a new option for the returns process which allows the user to post each line individually and treat it as its own RMA as opposed to the RMA posting being driven by the header information. Each line will carry the information that used to live only at a header level to a line level. This includes Customer, Division, & Store. We’ve also added the ability to create a master called Action Type and Return to Style by Action Type. What this means is that the user will have the ability to set a default “Return To Style” based on Action Type. For instance, the user could set up an “Action Type” called “Seconds” and when the “Action Type” Seconds is chosen, the system will look to see if that particular Style has a different “Return to Style” set up based on the Action Type and Style Master.

In order to start, there are two masters that will need to be set up.

AR → Master Files Maintenance

The Action type will define what type of return it is. The user will enter the Action Type and Action Description. For instance, you can create an action type Seconds or Assortments.

The second master to create will be the Action Style Type This defines which style the inventory will be returned to based on the Action Type. There are 2 places this can be set up. The first is AR → Master Files Maintenance → Action Style Type. This lists all of the different styles currently set up to be returned to different styles based on Action Type.

The second place this can be setup is in the Style Master by clicking on the Returns Style button found on the bottom of the screen.

Once the user has these masters set up, the new worksheet is ready to be used. Go to Sales → RMA → RMA Process Worksheet. The only required fields to start are the Description and the Period Date

It’s important to note that there is Prefs button that allows both System Prefs & User Prefs.

The user can set a default Action type and reason code to avoid having to enter every single line if it is known ahead of time that all returns are going to be moved to a specific action type for a specific returns reason.

The “Rollup by Customer” controls how the credit Memo is created. If posting multiple lines at once for the same customer, should multiple credit memos be created or only one? Rollup by Customer creates one credit memo for that customer per posting. “Post Credit Memo when update is done” will post the credit memo on the accounting side when checked off. When unchecked, AR will need to post the credit memo for it to hit the financial side.

On the System tab, the option to Close the RMA is given. Yes, No, or Ask.
