INTRODUCTION

The General Ledger package is a proficient and flexible program offering ease of use and total user control. The software allows for automatic integration between all A2000 packages providing flexibility and sound referential integrity. The most fundamental A2000 interface is the menu system. The menu bar extends across the top of the screen with menus that drop down to display available options. Toolbar buttons provide shortcuts to conventional selection methods, such as choosing menu commands. Despite its ease of use, new users should invest the time to become familiar with the basic elements that constitute the program’s front end before beginning the GL Module. (See the “Overview and Front End Navigation” section of the manual for more information.)

MASTER FILES

Master files contained in the General Ledger are user defined and primarily based on company specific reporting requirements. General Ledger Master Files include the Corporation Master, Chart of Accounts, Group Master, Starting Bank Balances, Account Overrides, Currency Codes and Sub-Ledger Master. In addition to the above-mentioned masters, the GL package provides user-defined allocation and distribution templates for use in various processes within the General Ledger and Accounts Payable modules. Note: If the General Ledger Module is inactive for the customer, a set of generic GL account numbers will be generated by the system during implementation.

Corporation Master

The A2000 Corporation Master is used to define and identify a Corporation. Each Corporation may have one or more reporting divisions (See “Master File” section of the manual for more information on Divisions). For accounting purposes, each Corporation maintains one set of books. If an organization has more than one Corporation that maintains its’ own books, each Corporation must be set up as an individual corporation when employing the A2000 accounting package. A Corporation Master is required even if the A2000 accounting package is not activated.

Corporation Tab

A master record for each Corporation is listed and stored on the Corporation Tab for processing. Each Corporation is assigned a unique one digit, user-defined identification code. The Code designation cannot be changed once the system is activated. . The Corporation Master also contains the initial settings for period close and fiscal information, as well as default GL Control Numbers for transactional processing. Period Closing and Fiscal Year information is not required if the A2000 Accounting package is inactive. Transactional information is linked to the Corporation throughout the system. New corporations may be added at any future date when applicable.

CORP CODE: Corporation Code (required): A one digit alphanumeric code representing the Corporation. All accounting transactions are linked through the Corporations assigned divisions. Enter a CODE for the Corporation and press TAB.

CORPORATION

NAME: Enter the Name of the Corporation. Press TAB.

LAST PERIOD: The Last Closed Period fields are provided for start-up purposes to record the last financial periods closed by the company. Four start-up period closing date fields are provided for Invoicing, Accounts Receivable, Accounts Payable and the General Ledger, respectively. Initial dates entered here during implementation, should be set back far enough to accommodate any existing transactions being manually entered and/or loaded into the A2000 system. Following the implementation, the user can reset these dates for the current period through the Period Closing Program in the General Ledger Module.

OPEN THRU: The Open Through Year field is provided for start-up purposes to record the current open financial year for the company.

FISCAL

YEAR START: Fiscal Year Start: Select the appropriate Month from the Fiscal Year Starting drop down menu (i.e., 1 - January) and Press TAB.

FISCAL
